Privacy Policy
Version 2.0. Last updated: 26 August 2026. Applies to Reqzi Go.
1. Who we are
Reqzi Go is a property management service for landlords, letting agents and tenants, operated by Reqzi Limited (“we”, “us”), a company registered in England and Wales, company number 16858392, at 124 City Road, London EC1V 2NX, United Kingdom. You can reach us about anything in this notice at hello@reqzi.com.
This notice covers Reqzi Go specifically. Reqzi Limited publishes a separate notice at reqzi.com/privacy-policy for its other products. Where the two differ, this notice governs your use of Reqzi Go: it takes rent payments, uses an AI assistant, and keeps financial records for longer, none of which apply to those products.
2. Our role: controller and processor
Reqzi Go holds two kinds of personal data and our legal role is different for each. This section decides which of the rest of this notice applies to you.
Where we are the controller
We decide how the following are used, so we are the controller and this notice describes that processing in full:
- Your account: name, email address, phone number, profile photo.
- Subscription and billing records for the workspace that pays us.
- Security, sign-in, audit and usage records, and crash and performance diagnostics.
- Support conversations with us.
Where we are the processor
A landlord or letting agent decides what tenancy records to keep, what to write in them and how long to keep them. For that data they are the controller and we act as their processor: we handle it on their documented instructions and do not use it for our own purposes. This covers property and tenancy records, rent schedules and arrears, maintenance history, compliance certificates, inventories, documents, signatures and messages about a tenancy.
If you are a tenant: your landlord or agent chose to use Reqzi Go and decides what is recorded about you. Ask them first for access, correction or erasure of your tenancy record. If you contact us instead, we will pass your request to them and help them answer it. Your own account details, your rent payments and anything you send to our support team are ours as controller, and you can exercise your rights over those with us directly.
Business customers processing tenant data through Reqzi Go are covered by our Data Processing Addendum, which forms part of our agreement with them and sets out the Article 28 terms.
3. What we collect
- Account details: name, email address, phone number and profile photo.
- Property and tenancy data: property addresses, tenancy terms, rent amounts, compliance certificates and related records that you or your workspace add.
- Payment records: rent and subscription transaction history, amounts, dates and payment status. Card numbers and bank details are collected directly by our payment processor, Stripe. We never see or store full card numbers or bank credentials.
- Content you add: photos, documents, inventories, electronic signatures and messages sent through the app. Message content is stored encrypted.
- AI assistant queries: the questions you ask the assistant and the answers generated from your own portfolio data.
- Usage and device data: how you use the app, device model, operating system, IP address, and crash and performance diagnostics.
- Support conversations: messages you send to our support channels.
We do not ask for special category data. Tenancy records can end up containing health or vulnerability information if a landlord or agent chooses to record it. That is their decision as controller, and their responsibility to have a lawful basis for it.
4. Why we use it, and our legal basis
| What we do | Legal basis (UK GDPR) |
|---|---|
| Run your workspace: properties, tenancies, maintenance, compliance, messaging and notifications | Performance of a contract |
| Collect rent and take subscription payments | Performance of a contract |
| Keep financial and tenancy records for statutory periods | Legal obligation |
| Secure the platform, investigate abuse and fraud, keep audit trails | Legitimate interests: running a service that is safe for everyone on it |
| Improve the product using aggregated usage patterns and diagnostics | Legitimate interests: knowing what to fix and build |
| Optional communications, and anything the law requires consent for | Consent, which you can withdraw at any time |
Where we rely on legitimate interests, we have weighed them against your rights and concluded that the processing is what you would reasonably expect from a property platform. You can object at any time and we will stop unless we have compelling grounds to continue.
5. Who we share it with
Members of your workspace see the data relevant to their role. A tenant sees their own tenancy, rent schedule and maintenance requests; a landlord or agent sees the properties they manage. Beyond that, we share data only with the providers that run Reqzi Go:
| Provider | What for | Where |
|---|---|---|
| Clerk | Sign-in and account security | United States |
| Stripe | Card and Bacs Direct Debit payments, payouts, subscriptions | UK, EU and United States |
| Supabase | Database and file storage | London, United Kingdom |
| Railway | Application hosting, cache and background job queues | London, United Kingdom |
| Vercel | Web hosting | United States, serving from London |
| Resend | Email delivery | United States |
| Expo | Push notification delivery | United States |
| Anthropic | Processing AI assistant queries | United States |
| Sentry | Error and performance monitoring | United States |
We may also share data with professional advisers, or with authorities where the law requires it, and with a buyer if the business is ever sold, in which case this notice continues to apply until you are told otherwise.
We do not sell your personal data, we do not share it with third parties for their own advertising, and your content is not used to train anyone’s AI models. Queries to the AI assistant are sent to Anthropic to generate an answer and are not used for model training.
The current list is kept here. Business customers can subscribe to advance notice of changes under the Data Processing Addendum.
6. International transfers
Your data is stored in the United Kingdom. Some providers in the table above process data in the United States. Where that happens, transfers are protected by the UK extension to the EU-US Data Privacy Framework where the provider is certified, and otherwise by the UK International Data Transfer Agreement or the EU Standard Contractual Clauses with the UK Addendum, together with a transfer risk assessment. You can ask us for details of the safeguard used for any provider.
7. How long we keep it
| Data | Kept for |
|---|---|
| Account and profile | While the account is open. Deletion starts a grace period, after which personal data is erased |
| Rent, payment and invoice records | Up to 7 years, to meet tax and accounting obligations |
| Tenancy agreements and related documents | Up to 6 years after the tenancy ends |
| Audit and security logs | Up to 3 years |
| Diagnostics and crash reports | Up to 90 days |
Where we are the processor, the landlord or agent sets the retention period and we delete or return the data when they tell us to, subject to the statutory periods above.
8. Your rights
Under UK data protection law you can ask for access to your data, correction, erasure, restriction of processing and portability, and you can object to processing based on legitimate interests or withdraw consent you have given. Exercising a right is free and we answer within one month, which we can extend by two months for complex requests, telling you if we do.
- In the app: Settings lets you edit your profile, export your data, and deactivate or delete your account.
- By email: hello@reqzi.com. We may ask for enough information to confirm who you are before we act.
- If we are the processor: we pass the request to your landlord or agent and help them answer it, as described in section 2.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk, or to your local supervisory authority.
9. Automated decisions and the AI assistant
We do not make decisions about you by automated means alone that produce legal effects or similarly significant effects. Reqzi Go has no credit scoring, no tenant scoring and no automated approval or rejection of anyone. Features such as health scores, arrears flags and compliance reminders rank and summarise information for a person to act on, and a person makes the decision. The AI assistant answers questions about your own portfolio data; its answers can be wrong and are not advice.
10. Cookies and on-device storage
We do not use advertising or tracking cookies, and there is no third-party advertising on Reqzi Go. Our sign-in provider sets the cookies needed to keep you signed in securely, which are strictly necessary for the service. The apps and website also store small amounts of data on your device, such as your chosen theme, your active workspace and an offline copy of recently viewed screens, so the app works and looks the way you left it. Clearing your browser or app data removes it.
11. Security
Data is encrypted in transit and at rest. Access is isolated per workspace and enforced at the database, so one workspace cannot read another’s data. Message content is stored encrypted, uploads are checked for unsafe content before they can be downloaded, and file downloads use short-lived signed links. Every change is written to an append-only audit trail. Sensitive administrative actions require a fresh sign-in. You can add an optional Face ID or biometric lock on your device. If a breach affects your rights we will notify the Information Commissioner’s Office within 72 hours and tell you without undue delay where the risk to you is high.
12. Children
Reqzi Go is for adults managing or renting property. It is not intended for anyone under 18, and we do not knowingly collect data from children. If you believe a child has given us personal data, tell us and we will delete it.
13. Changes to this policy
If we make material changes we will notify you in the app or by email before they take effect. The version and date at the top show the current revision, and previous versions are available on request.
